The Reception and Office Specialist is the first face of our Children’s Advocacy Center and has the responsibility of coordinating all aspects of our front office. The candidate will welcome clients and guests, confirm appointments, provide proper intake and registration forms, process program data, facilitate email/mail/phone communication and work with vendors who do business with our organization.

The candidate must have strong interpersonal skills and be able to positively interact with clients, guests and staff from diverse backgrounds. The candidate will be highly organized and enjoy working in a fast-paced environment while coordinating various reception and office functions. The candidate should have at least 2 years of front office, administrative, operations or related experience and be able to pass a Level II background screening. Bilingual (English/Spanish) preferred.

About Pasco Kids First Pasco Kids First, Inc. was launched in 1989 to keep kids safe and strengthen families through the assessment and treatment of child abuse and neglect. The agency is the Children’s Advocacy Center (CAC) for Pasco County operating both Child Protection and Trauma Therapy teams as well as the Healthy Families program which serves both Pasco and Hernando counties. PKF is an accredited member of the National Children’s Alliance. The organization currently has over 40 employees, and a budget surpassing 3.5 million dollars. Overview of Position

Core duties of the Reception and Office Specialist include, but are not limited to:

  • Maintain a cleanly and tidy reception area, front and back office spaces
  • Welcome guests and clients for appointments; allow them access to the reception area
  • Print out client schedules each morning, inform staff of client arrival
  • Update and maintain program registration forms; provide clients with intake forms
  • Answer phones and route to various staff members, take concise and accurate messages as needed
  • Pick up and sort mail including postal, FedEx, Amazon and related
  • Order office and program supplies as needed or requested
  • Complete routine filing of paperwork; maintain a neat and organized file system
  • Work with Director of Operations to maintain good vendor relationships, assist in procuring and evaluating bids for the provision of equipment, materials or services
  • Support Director of Operations on building(s) maintenance and IT issues
  • Support Director of Development with donor gift processing and engagement
  • Assist Senior Staff and President/CEO on various initiatives as requested

 

Ideal Candidate Qualifications

  • An Associates Degree in business or similar education or lived experience
  • At least 2 years of operations, front office coordination or administrative experience
  • Experience maintaining, tracking and reporting files and forms
  • Strong organizational skills and advanced proficiency in Microsoft Office including Word, Excel and other software
  • Familiarity with nonprofit, community-based organizations with similar mission
  • Friendly; ability to communicate with individuals from various backgrounds
  • Deadline and detail-oriented. Excellent time-management skills are essential
  • Strong communication and assertiveness skills
  • Bilingual (English/Spanish)

Additional Position Information

This is a full-time, hourly position and is based in our New Port Richey office. Candidate must be able to fulfill the position schedule of Monday through Friday, 8am-5pm (includes an hour lunch break). Salary Range $16.50 to $17.00 an hour and is based on candidate experience.
